Job Description

SUMMARY:

Assist guests with their reservations both on the phone and with online requests. Process payments, send and receive guest correspondence, verify invoices, file, create cards & signs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answer phone calls and respond to email, text, and chat requests from guests, cleaners, and inspectors.
  • Generate Kaba door codes upon request.
  • Save and approve housekeeping invoices.
  • Pre-check, troubleshoot, and confirm automated payments.
  • Process check payments and bank deposits.
  • Process ACH deposits.
  • Receive and process rental agreements and covid addendums.
  • Pre-check and send check-in instructions.
  • Manage lost & found items: contact guests, mail items to guests, or donate items.
  • File receipts and invoices into unit folders.
  • Enter guest experience cards onto our website.
  • Replenish arrival inspector materials & folders.
  • Create, print, laminate, and schedule placement of signs, cards, and labels for units.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Experience working in a fast-paced office setting, preferably in the hospitality or travel industries.
  • Customer-service experience.
  • Excellent written and verbal communication skills.
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Proficient in Microsoft Excel, Word, and Publisher.
  • HomeAway Escapia software experience is a plus.
  • Data entry experience.
  • Flexible working hours; one weekend day is a must.

LANGUAGE SKILLS:

  • Ability to read and write routine correspondence to guests, cleaners, inspectors, owners, and site condo complex offices.

MATHEMATICAL SKILLS:

  • Ability to add, subtract, multiply, and divide using whole numbers.

REASONING ABILITY:

  • Ability to handle and keep composure in hostile or demanding situations.
  • Perform well under pressure.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Valid driver’s license and access to an insured vehicle.

WORK ENVIRONMENT:

  • The noise level in the work environment is usually moderate.
  • Rentals Maui is a drug-free workplace. A pre-employment drug screen will be required.
