Job Description

The Maui Farm is seeking a dynamic and values-driven individual for a full-time OFFICE & ADMINISTRATIVE SPECIALIST to join our team in a supportive role for core administrative and office functions. Under the supervision of the Executive Director, the Administrative Specialist must take on various duties within the organization to help ensure effective day-to-day operations in support of our residential and farm programs. This role requires, but is not limited to, performing general clerical tasks, accounting and payroll administration support, managing office equipment and supplies, grant reporting assistance, vendor management, and fundraising and communications in support of The Maui Farm’s mission and programs. This position is responsible for completing complex tasks and requires high aptitude for learning new things independently.

About The Maui Farm

The Maui Farm is a community-based nonprofit providing transitional housing and farm-based, family-centered programs to families who are homeless or at risk of homelessness. Our programs offer families the opportunity to achieve outcomes related to achieving self-sufficiency including establishing parental resilience, developing healthy life skills, furthering education, obtaining gainful employment, and transitioning to safe, stable housing in the community.

Summary of Primary Responsibilities:

· Bookkeeping/Payroll Support: ensures accuracy of payroll information and time/activity sheets; prepares, reviews, and scans financial documents to Bookkeeper; assists with tax filings; primary liaison with PEO; on-site staff support for HR issues/inquiries, provides financial audit support.

· Administrative and Office Duties: primary liaison with IT services provider, coordinates with staff and outside agencies/vendors for daily administrative operations; maintains fiscal and administrative recordkeeping system, and document retention schedule; coordinates insurance contracts

· Development Duties: Donor/volunteer database management, donor acknowledgments/stewardship, and grants coordination.

· Other/Clerical Duties: monitor company emails and dispatch accordingly, answer phones, retrieve/send mail; provides clerical and administrative support to operations and assists the day-to-day tasks of the Executive Director.

Desired Qualifications

The ideal candidate is highly organized, a forward thinker, takes initiative, thrives in a team environment, has excellent verbal and written communication skills, and enjoys working closely with others. Ideal candidates have at least 3 years’ experience in administrative functions, including, but not limited to: bookkeeping, payroll, fundraising, grants coordination, and office management. Highly proficient in MS Excel and/or QuickBooks Online, MS Word, and Adobe Acrobat. Prior experience working in the nonprofit sector and knowledge of or interest in human services, gardening and/or sustainable agricultural practices are highly desirable. Prior experience working with women, children, survivors of domestic violence and/or individuals experiencing houselessness is also helpful.

Requirements

Graduation from an accredited college or equivalent certification, and three (3) years progressively responsible experience in office management or administration. A criminal history background check and state child abuse and neglect screening is a condition of employment. Requires pre-employment TB testing, a valid driver’s license, proof of vehicle insurance, and clean traffic abstract.

Work Hours

Full-time position working Monday through Friday, generally 8:00 am to 4:30 pm.

Compensation

Salary commensurate with experience and qualifications starting at $40,000/year. Benefits package including paid time off, 12 paid holidays, medical and dental insurance, and other benefits in addition to salary.
