Job Description
SUMMARYThe Engineering Office Coordinator’s role is to provide efficient and courteous assistance to the Engineering and IT Departments. This includes project management, receiving, prioritizing, documenting, auditing and regularly updating stakeholders on progress of initiatives. The objective of this position is to analyze and execute the efficiency of internal processes to support the Engineering and IT teams daily operations and assist in the documentation of CAPEX projects.
An exceptional Engineering Office Coordinator must demonstrate strong organizational skills, technical knowledge, communication and collaborative mindset. This position will report primarily to the Director of Engineering.
ESSENTIAL FUNCTIONS The daily responsibilities and functions of this role include alt="jobs and employers"hough are not limited to:
- Project creation, tracking and coordination with internal stakeholders, partners and vendors to meet deadlines and budgetary compliance.
- Optimize and administer Alice & Maintenance Connection workload management platforms.
- Processing and tracking Purchase Order submission, delivery and payment.
- Audit and maintain inventory & assist with asset management.
- Identify trending or underlying issues and draft solutions & instructions for team members and associates.
- Work with vendors to maximize training knowledge of products and services.
- Perform audits of system access and inventory to ensure accuracy.
- Review contract & cost of reoccurring expenses to ensure compliance.
- Organization of all Engineering & IT inventory, spaces, and vehicles to promote safety and efficiency.
QUALIFICATIONS
- High School Diploma or equivalent
- Knowledge of Microsoft Office applications, Workload Management, and Purchasing processes
- Ability to balance multiple priorities while meeting deadlines.
- Willing and able to learn and adapt to new software and processes.
- Excellent written and verbal communication skills.
- Must be able to work independently and as part of a team while remaining detail oriented.
- Must demonstrate effective time management.
- Ability to work Weekends, Holidays and after-hours as needed.
PREFERRED
- Experience with Workload Management, ticketing & project tracking software.
- 1 year of previous Luxury hotel experience
- 1 year of experience in either IT or Engineering fields
- Building Automation & Lighting control systems
PHYSICAL REQUIREMENTSMust be able to exert well-paced ability to maneuver around the campus. Must be able to lift up to 40 lbs. on a regular and continuing basis. Must be able to walk, stand, sit, climb, bend, stoop, squat and stretch to fulfill tasks. Must have finger dexterity to be able to operate office equipment and perform repairs.
